Roadmap to the 1 November 2025 Changes
The 1 November deadline is almost upon us and as predicted, the Government’s expectation of transitioning multiple programmes, multiple providers and multiple residents, consumers, participants and clients across on 1 day has brought its own challenges.
e-Tools as the largest software developer in the aged care and NDIS space has had the challenge of not only developing a new application for Support at Home but also respond to the significant changes to residential care, NDIS and CHSP.
Leading up to 1 November, we will be trying to provide the best client support we can, but individual one-on-one training is just not feasible in the timeframe prior to the commencement date, given the number of providers that will be transitioning.
Consequently, e-Tools will be providing notes, PowerPoints guides, as well as access to a sandbox for clients to start introducing themselves to the new software functionality ahead of the transition.
e-Tools intends to provide group online training sessions as much as we can, followed by additional one-on-one training post 1 November.
In addition, access to a Learning Management System (LMS) will be made available over the next week. The LMS will allow eSAH users to walk through all the aspects of the new software and familiarise themselves prior to 1 November.
The following outlines the process and approach e-Tools is taking:

🌟 Learning Management System (LMS) Subscription Details
The LMS will be a low-cost subscription service of $9 per month per user, which will allow users to have access 24/7 and benefit from changes to the software, as and when they occur. The LMS is hosted by a third party provider, however the content has been prepared, and will be maintained by e-Tools going forward.
When a registered user/staff member is replaced, a new user can replace the previously registered user at no additional cost, other than the original $9 per month subscription.
We will be sending out additional information in relation to the LMS over the next few days.
💡 Read Only Licence & Retaining Records for Seven Years
In addition to the above, you may need to consider your requirement for a “Read Only” licence for Home Care so that you can complete the reporting requirements for 24/25 and the part year for 25/26. There is a requirement to keep records for seven years and part of that will be to be able to access those records should there be an audit or inquiry (please refer to our recent circular regarding the possibility of an audit and the need to conduct an internal audit yourself to ensure all the records are correct and that all claims are supported by appropriate documentation and meet the programme requirements).
