NEWS: Software Not Meeting Expectations? Tips for a Mini Software Review if You’re Time-Poor.

You probably have some kind of technology in place to assist with the management of the daily administration tasks of running your aged care facility. It could be anything from a simple spreadsheet or an all-inclusive operating system with all the latest bells and whistles. Regardless of what system you have, it can be a valuable exercise to regularly review your software systems, to ensure it meets your needs and expectations.

Perhaps you already know that some areas of your software are lacking or don’t work as well as they should or aren’t really fulfilling your changing needs? The problem is that everyone is too busy with the day to day running of the business that there is no time to conduct a full review your software systems.

Instead of thinking of it as a mammoth task that requires hours of your time, time that you just can’t spare, what about starting with a mini review? 30 minutes of your time to get a quick snap shot of where you are at. You’ll be surprised at how much this can reveal to help you move forward.

Below is an example of a mini checklist. There are plenty more items you could add to the list, but it’s a starting point.

Software Review Mini Checklist:

(1) Talk to the users and get their feedback.

- Is it easy to use and navigate or clunky and confusing?

- Does it do the task it was originally purchased for and is it constantly evolving in line with industry changes?

- Does it save or drain time?

- Are there any recurring problems or issues prohibiting your staff to be able to complete their task and is the software vendor responsive to the issues?

(2) Are your staff using it properly and keeping the data up to date?

(3) Has your business changed and if so, is the software still relevant?

After conducting the mini review, if you find that your system is less than perfect and not meeting the staff and business needs and expectations, then maybe it’s time to consider your options? More staff training? Updating your procedures? Or perhaps it’s time to investigate an alternative software solution?
